Conferences & Meetings

The versatile Auditorium, the large, spacious foyers and the multi-functioning Lendal and Toft rooms offer flexibility for events from 2 to over 1400 delegates. In-house technical equipment is available for all of your audio visual needs. Our Bar and Catering Team offer an extensive range of options, from simple breakfast rolls and light buffet lunches to substantial working breakfasts and stylish seated banquets. The Conference and Events Team will work closely with you on all aspects of your event.

Exhibitions

The venue is a great space for exhibitions; the auditorium is adjacent to both the foyers, enabling a conference to run alongside an exhibition. For a larger exhibition the auditorium is a great space and when combined with the foyer areas, transforms York Barbican into an exhibition centre. All levels are easily accessed by both staircase and lift. The Conference and Events Team will work with you throughout the planning stages to ensure you get the most out of the space available, maximising the success of your exhibition.

Training Courses

The meeting rooms are ideal for more focussed workshops and training sessions, or they can be used in conjunction with the Auditorium or Fishergate room as breakout spaces for larger events. The foyer spaces adjacent to the Auditorium also provide additional breakout areas and are the perfect place for team building sessions.

Award Ceremonies and Fashion Shows

York Barbican is the perfect setting to host an awards ceremony. Whether you want your guests to be able to sit-down cabaret style, theatre style or prefer a stand-up ceremony they can arrange the Auditorium to suit. The excellent production and vehicular access make this an ideal venue in which to stage a fashion show. The Auditorium is the ideal shape and height for a catwalk, with seating for guests along either side and up in the balcony.

Receptions and Dinners

York Barbican is a great space for standing receptions and dinners. The venue provides great spaces from private dinners of 5 people to a banquet of 400 guests. For standing receptions, choose from the innovative reception menus, all of which are designed to be circulated to your guests. For more formal dinners, York Barbican Bars and Catering Team can deliver imaginative menus tailored to your preferences, season or dietary requirements.

Planning Your Event

Here are a few top tips to help you plan the perfect event!

1.Always organise a site visit to check the venue suits your requirements and to make sure your requirements will work in your chosen venue.

2. Remember to check who your point of contact will be when you arrive at the venue. A friendly face and a good start to the day will make for a successful event.

3. It’s a good idea to set up & test any audio visual equipment first thing, using the venues staff for assistance, as this can sometimes throw up unwanted delays.

4. Make sure your coordinator introduces you to all the relevant operational staff. You should know who is looking after your catering, AV and house management arrangements for the day so you can deal with them directly.

5. Check with venue staff for house rules, emergency exits, toilet location, air conditioning arrangements, and that adequate signage is in place.

6. Mis-communication will delay arrangements, therefore it’s best to have one main point of contact from your organisation who the venue can deal with to avoid mixed-messages from different staff members.

7. Remember to smile at your delegates; a happy face when they arrive will go a long way!
